This article will gather all the tips you need for a successful import in the first try 👊🏻

❗️Only two imports are included in your subscription! For example, you will not be able to fill in part of your information, import it and then do the second import part.

That's why, once you start on Airtable, we advise you to be complete and precise as possible. We invite you to complete the boat-by-boat procedure.


📝 Using an Airtable file is only for importing data. Your file cannot be used to do mass changes to existing data.


💡 As long as we have not imported your file into FLEET, the Airtable file is not " freezed ", you can come back to it and make corrections whenever you want. However, be aware that the file is not instantly linked to your FLEET space. The modifications made on the platform do not automatically update on Airtable and inversely.


⛔️ Do not try to import the Airtable file to FLEET yourself, you will get an error. Indeed, the file must be imported by the Smart Sailors team. We push a compatible script to interpret all elements correctly.


🔧 If you choose to integrate your subsets, you can link departments as well as subsets as "parents", which allows you to have more detailed tree structure. There is no obligation, you can stay on a single "degree" of information.


🚨 To import spare parts, remember to enter the manufacturer's reference and the manufacturer's name. For the data to be correctly taken, we need to have both information.


✨ For the running meters part: You cannot create planned maintenance based on counters if the running hours are not activated. You can activate them from "equipment":


🚸 If you do not enter any maintenance using Airtable, it means that you will have to make all the connections between the spare parts, the subsets and the maintenance manually into the platform.


⛔️ Avoid putting a space between two filled lines, it can generate errors during the final import.


💡 Good to know: If you already had an Excel file that you were using before the installation of Smart Sailors, you can import it in csv. format on Airtable by matching existing fields. This will allow you to save time when retransmitting your data.
